We are currently doing work arounds for memberships we sell online. Looking to see if anyone has better workflows.
We email the estimate with online link and when the customer accepts estimate it automatically activates the membership and there is no way for the customer to pay at the time the estimate is accepted. We then go in and suspend the membership and try to contact the customer for payment by sending the invoice with the link to pay online and calling. We place the invoices with balances in a batch that does not get posted, it is only for holding as we do not want to recognize revenue for memberships until they are paid and we also do not want incorrect receivables. This is time consuming but the response we have gotten from sending the online estimates has made it so much easier to renew that it is worth the work around for now but definitely not scalable.
We also have another issue with estimates for memberships being sold and not being able to generate an invoice for them without booking a job. We are never going to need to book a job for just a membership sale so we need to figure out how to get these estimates out of the sold estimate tab without adding the estimate items to a job. We go to the customers page and sell the membership from there but I do not want to have to delete the estimate items as this messes with technician conversion rates and other reporting on key KPIS.

In reference to "issue with estimates for memberships being sold and not being able to generate an invoice for them without booking a job" We have the same issue. If a customer calls and would like information and prices for a "Membership" We can't utilize Service Titan. We don't want it attached to a job in any way. Just an opportunity for the location.

@lpalladi - have you tried asking your CSM about this? There is a configuration available to build estimates without a customer/location directly from the call booking screen. Once on, there is a "build estimate" button on the call booking screen and you can build out the estimate (add the member sales task) and sell it directly from the estimate without creating a job, or leaving it as an opportunity on the location.
Edited to add: full disclosure, this configuration may not work with other ways your account is configured or otherwise may not be available to you, but it's worth a shot! I think it would solve your problem.

In reference to the link that automatically creates a sale for the membership when they accept, is to take the link out before emailing. Not perfect. people forget.

Unfortunately we have not. We just continue to go in and suspend the membership until the payment is received.

Kristy, I was told that when you put a membership on suspend, you can still book a recurring service event. Is this true?

Re: generating invoices without a job. ServiceTitan recently released a feature called "Location Opportunities" - you'll be able to create an estimate without a job 🙂 See screenshot below. It may not be live in your account just yet, as this feature is very recent!
