Multi Dwelling Maintenance Contract

We have an account with multiple buildings (different addresses too) and multiple systems in each one of these buildings. A multi family apartment complex.

Building A has about 25 units, building B has about 20 units, building C has about 30 units.

Best recommendation for how to build these in Titan? Do we create a new job/new location for each apartment unit or 1 location and all equipment lives under 1 main section?

Should we keep a granular level record of each apartment unit?

We have each apartment as it's own location. We may never work on every location at the property, so we won't set it up until we do.

Yes, there are benefits, in the software to making each apartment its own location. Just seemed like so much extra work to make that happen... And im wondering if the squeeze is worth it. 🤔

When that tenant moves, we just change that person's name on the location, if there was one? All of the info stays there. We aren't setting up a new location for a new tenant every time they move and then merging the 2. So it is a 1 time deal. We are plumbing and HVAC, so we have HVAC units, water heaters, softeners, and other things listed and it is easier to see what is at each apartment and when it was installed this way for us.

It really depends on you and your customer. Do they want to see a separate job/invoice for each apartment? If so, I'd make each apartment its own location. Do they just want one invoice for each time you go out there? If so, I'd make sure the equipment is added clearly noted which apartment it's for, but only have one location (or maybe one location for each building to keep stuff clear).

Yes, i like the one location per building. And then we could make the equipment model/serial super clear to note which apartment its in. Seems simple but we don't lose anything. There would be no reason to have each customers info- they move, we only deal with a property manager who gets us access to each apartment, no need to send marketing materials to each apartment, etc.

Seems like busy work to make each apartment its own location.
